Track record

Smartilabs doesn't lead with a sales pitch. The approach is built on fifteen years of independent practice in Slovenia and two decades of engineering leadership in environments where outcomes matter more than slides.

01 · Why now

Your systems are from 2010. Your processes are manual. AI changes everything — or makes a mess.

Small and mid-sized companies carry decade-old core systems that once helped them and now slow every new project. At the same time employees informally try AI tools without structure or oversight. That's a risk. Also a missed opportunity. Smartilabs leads the transition: modernising the systems, automating the work no one enjoys, and actually training the team — so that AI becomes a tool, not a threat.

02 · What we do

Three areas, one engagement.

We don't sell point services from a catalogue. Smartilabs leads end-to-end transformations — from the most outdated system to the most reluctant team.

01

Business systems modernisation

Renewing core internal systems when legacy ones slow the business — from in-house apps to platform migrations. Planning, leading, integrations, knowledge transfer. No history loss, no business interruption.

02

Process automation

We identify the manual processes that drain people — quoting, ordering, documentation, reports — and automate them with tools your team can understand and maintain themselves.

03

AI in the team's hands

We teach employees daily AI use — writing, summarisation, research, content prep. Not a one-off workshop. Monthly cycles, real tasks, measurable outcomes.

03 · Approach

Human leads. AI assists. Learning is part of the deliverable.

We work by Workforce 3.0 principles — teams are led by people, AI amplifies rather than replaces. Every engagement leaves behind concrete knowledge in the company, not just a working system.

  • Human-in-the-loop

AI doesn't fire automatically where consequences are irreversible. A human always approves, corrects, takes ownership.

  • Learning as a deliverable

Every engagement includes structured training. After the project, the team doesn't need us anymore — that's the goal.

  • Fast cycles, slow decisions

Technical changes happen fast. Strategic decisions slowly, deliberately, with the company's owners.

Slovenian woodworking workshop

Real-time 3D wardrobe configurator with AI assistant — from idea to production.

Client

Slovenian woodworking workshop (SMB)

Project type

Product build

Duration

~4 weeks to first production

Before

The workshop made custom built-in wardrobes, but the entire inquiry process was manual — phone, email, paper sketches, repeat site visits. Customers never saw what they were buying until it was too late to change. Competitors were fighting for the same segment, all without a digital channel.

What we built

  • Real-time 3D wardrobe configurator in the browser — precise dimensions, materials, doors, interior fittings, PBR viewer
  • AI assistant that takes plain-language requests and applies them as structured changes in 3D
  • Automated quoting with cut-list that runs in the background once the design is finalised
  • Multi-tenant architecture from day one — ready for other workshops to plug in

Following the success with the first client (omara.si), it's now being packaged as a platform any cabinetry workshop can run under their own domain — ClosetForge.

05 · About smartilabs

Bostjan Bogataj

  • · Founder · Smartilabs d.o.o. · since 2011
  • · Head of Engineering · Heureka Group · since 2020
  • · 20+ years in engineering leadership

I run Smartilabs as a practitioner, not a consultant who only draws slides. Alongside leading engineering at Heureka Group for the past five years (5 teams, 20+ engineers, 9 markets), Smartilabs brings that experience to small and mid-sized Slovenian companies — with an understanding of SME reality, not just large corporations.

Smartilabs operates as a small experienced core with a vetted network of specialists. Each project is staffed to scope — systems architect, AI engineer, designer, change consultant. For clients this means: one contact, one accountable lead, a team that scales to the work.

06 · Network

The specialists I work with.

Smartilabs doesn't hire — it partners. A network of experienced specialists, assembled per engagement. Below are the roles. Not anonymous out of secrecy, just not yet published. Names are added as projects go live.

  • 20+ years · in-house

    Systems architect

Migration planning, legacy/modern integrations, data modelling.

  • 10+ years

    Product designer & UX

UX for internal apps, prototyping, user research, information architecture.

  • 10+ years

    Marketing

Strategic B2B marketing, content strategy, brand positioning for growth-stage companies.

  • 10+ years

    SEO

Technical and content SEO, local SEO for the Slovenian market, conversion optimization.

Specialist names disclosed under NDA, project-dependent.

07 · Internal practice

How we use AI — in our own work and in the products we build.

Smartilabs deliberately stays lean — a small core with a vetted specialist network. This works only because we actually use AI and automation ourselves, every day, and because we build the same approaches into the products we ship — from ClosetForge to others still in development. The list below is our own stack — both proof of concept and the answer to the most common client question: "Does this really work?"

08 · What people say

Reflections from people I've worked with.

"There is nothing he can't build, optimise, integrate, improve, or propose a better solution for once he digs in. He genuinely understands where and how AI can help him, which means you don't get superficial, hastily-assembled 'vibe-coded slop'. You can rely on Boštjan — he's one of those people who stays calm, pragmatic, and solution-focused in fast and often chaotic environments."
David Čreslovnik·Managing Director · Ceneje.si
"He's not a typical engineering leader. Boštjan goes beyond the technical side to truly understand the business context and the problems we're solving. He cares about building the right solutions and isn't afraid to speak directly with users to get first-hand insights."
Urban Satler·Product Head of Brand Tribe · Heureka Group
"He is incredibly knowledgeable and always comes up with great ideas, whether it's solving complex problems or shaping the overall architecture. Anyone looking for a strong technical lead and a great person will be very lucky to have him."

10 · FAQ

What clients ask us most often.

How much does it cost?
Determined in the discovery call, sized to scope and duration. Engagements are predictable: monthly invoicing, no hidden extras. Our pricing matches the standard for senior consulting work in Slovenia.
How long does an engagement last?
Typically 3–12 months, depending on scope. We don't do one-off advice — the focus is on actual transformation that stays in the company after we leave.
Do you work with small companies?
Yes. Our target is companies with 10–250 employees. That's where our impact is greatest — large enough that transformation matters, small enough that it can happen quickly.
What if we don't have an IT department?
Many of our clients don't. Smartilabs leads all technical aspects — tool selection, integrations, migrations — with one person from your side as the internal liaison. You don't need an existing IT team.
What if AI rollout doesn't deliver?
We test every AI rollout first on a small process with measurable goals. If it doesn't work, we don't expand it. We don't buy enterprise solutions for five-figure monthly fees — our approach is iterative, with small steps and clear exits.
Do you sign NDAs?
Yes, as standard. Before any detailed conversation we send our NDA template, or we sign yours. All client information stays confidential.
